Safeguarding your computer!

Many people recently learned that running Anti-virus software is not enough to protect them from a computers virus. Unlike a virus that arrives in e-mail, virus' can be transmitted from computer to computer using open ports.  Ports are used by software applications to communicate with other computers in a network or on the internet.  For example, ports 25 and 110 are typically used to send/receive e-mail.

Using a Firewall will secure the ports on your computer from unauthorized data being received or transmitted, thus safeguarding your computer from virus' and hackers.

We highly recommend Zone Alarm firewall.  It is free and works well. Click here to download Zone Alarm.

We recommend Computer Associates E-Trust as the best Anti-Virus software. Click here for more information.

Here are some ACT! Tips and Tricks we would like to share with you!

I do most of my work in two cities, Denver and Englewood.  Is there an easy way for me to find all of the contacts in these two cities using one look up?
Yes, you can use the “Or” operator in Lookup |By Example Here’s how:

  1. From ACT!’s™ menu, choose Lookup > By Example.
  2. Place your curser in the City field.
  3. Type Denver, then click the space bar, <shift \> <shift \> Englewood.
  4. It will appear on screen as Denver || Englewood.
  5. Click the green exclamation point icon on your toolbar.

Your lookup will return all contacts in Denver or Englewood.

NOTE: The “|” character is the uppercase character sharing the key with your backslash character (\.) It can be confusing, because the “|” character on the keyboard looks like a dashed vertical line.

I have been wondering how to edit multiple contact records in ACT!™?

I have twenty contacts from one company, and the company has changed its address. How do you I change all of the addresses at one time?

  1. Lookup of the company.
  2. From the menu, choose “Edit” then “Replace”
  3. You’ll see a blank contact record. Enter the new data into the Address, City, State and Zip field as needed
  4. From the menu, choose “Edit” then “Apply”. ACT! will prompt you to make sure you wish to make this change to all the contacts in your lookup. Click “Yes” if you are sure.
All your contact records will be edited with the new information!
